PURPOSE: This Administrative Order is issued to establish a policy and procedures regarding the scheduling and use of conference rooms, classrooms and the Council Chambers. II. DEPARTMENTS AFFECTED: All. III. POLICY: As conference and meeting rooms are utilized by a number of different users for a variety of purposes, it is necessary to establish lines of responsibility for their scheduling and maintenance. As the City Council Chamber is the "stage" for the City's televised meetings and contains sensitive (and expensive) audio/visual equipment, its use and scheduling is necessarily limited. The party reserving a particular room for use shall be responsible to restore the room to the same(or better) condition existing upon arrival. IV. PROCEDURES A. Conference Rooms: Conference rooms should be reserved in advance via contact with the appropriate department contact, as follows: First Floor: Conference Room 41: City Manager's Secretary Conference Room#2: Administrative&Community.Services Secretary Conference Room #3: Finance Manager Recreation Classroom: Recreation Department Assistant Second Floor: Conference Room#6: Public Works/Engineering Secretary Conference Room#7: Planning Secretary Conference Room #8: Planning Secretary Third Floor: Conference Room#9: City Manager's Secretary City of Pasco Administrative Order 110 Page 2 B. Council Chambers: Generally, the Council Chambers is not available for other meetings, due to its unique purposes and equipment. However, where necessary meetings benefiting the city are too large for the recreation classroom, use of the Council Chambers may be considered, consistent with the following guidelines: • Reservations: must be first reserved through the City Manager's secretary; and subject to City Manager approval; • Responsible party: the person reserving the room shall be responsible for set-up, take-down and cleaning after the meeting(if needed); • Equipment: use of the audio/visual equipment in the Council Chambers is not permitted without specific authorization of the Communications Specialist. If other equipment is needed, Information Services division should be contacted; • Restrictions: food and beverage (except water) is prohibited within the Council Chambers. Use of the dais and/or staff desk area is not permitted without specific authorization. Seating shall be limited to the floor area (that portion facing the dais).
