L PURPOSE:
The City has expended considerable resources developing internet web pages that
provide useful, timely information to users in a format consistent with the image that the
City intends to present. The purpose of this order is to establish procedures and
responsibility for web page revisions and for continuing maintenance of the information
presented thereon.
II. DEFINITIONS :
Maintenance: Web page maintenance shall consist of managing the information
contained or presented on existing web pages, within existing formats and scope, for
accuracy, timeliness or completeness. Examples of maintenance include posting of
minutes and agendas, or updating documents, within an established series or framework.
Revisions : Revisions include any changes not included under maintenance, including
new web sites, layouts, functions, links or tables of contents and category changes.
Revisions have the objective of changing the image, character or scope of the web pages
as opposed to updating content or maintaining accuracy or currency.
III. POLICY:
All revisions are to be approved by the City Manager following recommendation of the
appropriate department manager and the City' s Communication Specialist.
Web page maintenance is to be accomplished by Information Services staff or trained
departmental staff, according to procedures established by Information Services. Each
department which has web page information that requires regular updating shall assign a
staff person(s) who shall be responsible for such maintenance. (At the time of the
issuance of this Administrative Order, departments responsible for maintaining
information included: Executive, Administrative and Community Services, Community
and Economic Development, and Police.)
IV. PROCEDURES :
Whenever a revision to a web page is proposed, the department manager shall meet with
the City' s Communication Specialist to review the objectives and concepts proposed. As
necessary, the Communication Specialist will consult with the Information Services
Manager to determine the appropriate resources and methods for implementation . This

shall include design elements as well as considerations of maintenance. The
Communication Specialist will review each proposed revision with the City Manager,
and receive approval prior to proceeding with each revision .
The Communication Specialist shall monitor the web page and coordinate with
departments to ascertain that information is current and appropriate.
\' . STANDARDS :
To maintain a uniform web page appearance, revisions and maintenance changes shall
continue with established fonts, colors and formats, unless specifically authorized.
Photographs and other graphics should be of high quality and relevant to the information
provided. As the need arises, specific standards may be developed.
