A RESOLUTION ADOPTING POLICIES FOR CITY COUNCIL PUBLIC RECORD
E-MAIL.
WHEREAS, E-mail use is becoming more widespread and convenient as a way to
communicate both within and outside of the City organization; and,
WHEREAS, certain e-mail communications are classified as public records which are
subject to disclosure and retention under state law; and
WHEREAS, the Pasco City Council desires to adopt adequate policies for the definition,
use, storage and retention of public record e-mail; NOW,THEREFORE,
BE IT RESOLVED BY THE CITY COUNICL OF THE CITY OF PASCO:
That the following policies for City Council Public Record E-mail are hereby adopted:
1. Definition of Public Record E-mail. All e-mail messages which relate to the
functional responsibilities of Council members, whether as sender or recipient, shall constitute a
public record.
2. Forwarding of Public Record E-mail. All public record e-mail, either sent or received
by City Council members, whether on City-owned computers or personal computers, shall be
forwarded to councildocs(a�pasco.wa.us for filing and retention in accordance with established
schedules.
